Booking one sleeper coach for a whole group is not hard, but details slip: a missed pick-up point, an undeclared box of goods, or nobody sure who holds the passenger list. This is a checklist in time order for whoever organises the group: an office manager, a hometown association, a pilgrimage group or a large family. Work through it and the trip runs smoothly, and you know exactly what you have paid for.

Updated 21 October 2026. Written by the Car Rental Vietnam operations team from day-to-day dispatch experience and checked against current regulations. Traffic rules can change; check again before you travel.

Step 1: Gather the facts before asking for a price

A quote is only as accurate as the information behind it. Before you get in touch, have ready:

Our 45-berth sleeper takes about 38–40 suitcases in the hold. Tell us in advance if the group is carrying more than that.

Step 2: Read the quote properly

When the quote arrives, check that each of these is stated:

        ItemWhat to check
        IncludedFuel, tolls, driver
DriversOne or two, especially on long night runs
        Driver accommodationOn multi-day trips
Waiting timeHow many hours are covered
        Discount10% off every quote
        Invoice8% VAT on request

Not in the coach price: entrance tickets, the group's meals, and parking fees at some sights where they apply and were agreed beforehand.

A coach from our fleet; on shorter legs a seated coach is often more practical than a sleeper.
A coach from our fleet; on shorter legs a seated coach is often more practical than a sleeper.

Step 3: Confirm and pay the deposit

Once the plan is fixed, confirm it in writing: message, email, or a contract for companies. At Tết a deposit of about 10% holds the coach; at other times the deposit terms are set out in the confirmation.

Companies needing paperwork should send the company name, tax code, address and invoice email at this stage, so the invoice does not need correcting later.

        Step 4: The passenger list

Contract coaches must carry a passenger list. The organiser should:

        1. List full names, year of birth and phone numbers, and send it before the trip.
        2. Update it for cancellations or additions before departure.
        3. Name one person as the contact for the driver throughout.

The list lets the driver count heads quickly at each stop, so nobody is left behind in the dark.

        Step 5: Berths and luggage

Passengers wear seat belts while moving, lying down included. Current rules require it.

        Step 6: Departure day

Ask everyone to arrive 20–30 minutes early. The driver arrives first to load luggage. Recheck the list, the bag count and the planned rest stops. Drivers may not drive more than 4 hours continuously, so breaks are already in the schedule.

If you are heading somewhere with rules for large coaches, such as central Da Lat, which since 1 August 2026 restricts coaches over 29 seats, the drop-off point is agreed in advance. See the overnight Ho Chi Minh City to Da Lat run.

Who should be the group leader

A smooth sleeper trip usually has one point of contact: taking the quote, fixing the list, talking to the driver and briefing the group. When several people call the driver or dispatch, information drifts; two people give two different pick-up times. The leader should set up a group chat and pin the schedule, meeting time, plate number and driver's phone once known.

        A sample quote request

For a fast, accurate quote, you can send something like this:

        Group: ABC Company, 38 people (6 over 60, 2 children aged 5 and 8).
Outbound: 21:30 Friday 15 January 2027, pick-ups at 2 points: our District 3 office and an industrial park gate in Thu Duc.
Destination: Nha Trang, hotel on Tran Phu street.
        Return: 21:00 Sunday 17 January 2027.
Luggage: about 35 suitcases, 4 boxes of water.
Bus waits in Nha Trang: yes.
Invoice: 8% VAT, company details attached.

A message like this answers nearly everything we need, so the quote usually comes back in one go without a long exchange.

        Cancellations, date changes and headcount

Group plans change. Before confirming, ask and record in the written confirmation:

At Tết the calendar fills early, so change terms are usually stricter than on ordinary dates. Fix the list early to avoid surprises.

Common mistakes when booking a sleeper

Each small slip can cost hours. Ten minutes reviewing the checklist before you confirm avoids most of them.

        Several pick-up points without delays

Workers going home and hometown associations often have scattered pick-ups. A few rules:

        1. Order pick-ups along the bus's way out of the city; never send it backwards.
        2. Allow at least 15–20 minutes between points for traffic.
        3. Choose points where a large bus can stop: wide road, open space, not an alley.
        4. Put one person with the list at each point to call the driver when everyone is there.
        5. Keep to 3–4 pick-ups per sleeper.

Some streets in Ho Chi Minh City have time bans for large coaches. If a pick-up falls inside one, the driver will suggest a nearby alternative.

        After the trip

On return, check berths and the hold for personal items before the bus leaves. Items left on board are usually kept by the driver; get in touch quickly. If your company needs a contract closing note or extra documents for accounting, ask straight after the trip so we can send them with the invoice.

Feedback on the driver, timing or the vehicle helps us dispatch better for the group's next trip.

Booking a sleeper for a Tết 2027 trip home

Workers and students going home for Tết are the biggest sleeper bookings of the year. Points to know:

When a sleeper is the wrong choice

Sleepers suit long legs and night travel. For trips under about four hours, or a day with many stops, a seated coach such as a Kim Long 29-seater or a 45-seat coach is usually easier: quicker boarding and access to more roads. Groups under 15 can look at a 9-seat Limousine or 16-seat van.

General information on the vehicle is on our sleeper bus rental page. For a price now, enter the route in the quick-quote form.
