A monthly staff shuttle keeps employees arriving on time, reduces the risk of long motorbike commutes and simplifies transport costs. The first question is always: 16, 29 or 45 seats? This guide helps you choose by headcount, design pick-up routes, plan around shifts and prepare the contract and invoices.

When to rent instead of running your own buses

Owning shuttle buses means hiring drivers, handling servicing, inspections, insurance, backup vehicles and fuel control. Renting monthly makes sense when headcount changes with seasons or orders, when you have just moved site, when you do not want capital tied up in vehicles, and when you want one accountable partner for vehicles, drivers and schedules.

        16, 29 or 45 seats by headcount

        Staff per run Suggested Note
Up to about 12 16-seater Flexible; fits smaller residential streets.
About 13–25 29-seater Balances capacity and access.
About 26–40 45-seater Usually lowest cost per person; needs wide roads and stops.
Over 40, or scattered areas Mixed fleet E.g. a 45-seater trunk route plus a 16-seater feeder.

Leave a few seats spare for new hires, overtime days and comfort. See 16-seater vans, 29-seater buses and 45-seater buses.

        Designing routes and stops

        1. Collect home areas of staff who sign up.
        2. Cluster by area and choose shared stops where a large vehicle can stop safely: estate gates, supermarket car parks, main roads.
        3. Match vehicle size to roads: 45-seaters need wide roads; use 16-seaters in narrow lanes.
        4. Run a trial week, record real times, then adjust stops and times.

For industrial parks in Binh Duong, Dong Nai or Long An, allow for rush-hour traffic at HCMC's exits. See also passenger shuttle service in HCMC.

        FAQ

        29 or 45 seats for 30 staff?

If roads are wide enough, a 45-seater is more comfortable with spare seats. If the route uses narrow streets, two 16-seaters or a 29-seater plus a small van can work better.

What if a bus breaks down mid-week?

A replacement plan is agreed in the contract so the schedule is not interrupted.

Can routes change during the contract?

Yes, with notice, when staffing changes.
