A MICE programme has different transport needs on different legs. Airport arrivals bring luggage, conference trips need punctual loops, and gala departures can overrun. Plan those demands separately before combining the schedule.
For each leg record passengers, luggage, meeting point, time and the person authorised to change it. Gala waiting is not unlimited unless agreed. Clarify overtime and relief staffing, and rebuild the departure manifest instead of copying the arrival list.
Guests on the same or closely timed flights share a 29- or 45-seat coach, while late individual arrivals are met by a 4- or 7-seat car. Drivers track every flight and wait for delays.
Drivers hold a board with your programme name. At Tan Son Nhat Terminal 3, chauffeur vehicles use their own meeting point, so guests are kindly asked to call the driver after baggage claim.
Departures follow the agenda: frequent before the opening and after the close, more spaced out mid-session.
With little luggage on board, smaller vehicles make stops quicker. For an evening gala we are happy to keep vehicles on standby throughout, returning guests to their hotels in waves.
Pickups are worked back from each airline's check-in cutoff, plus drive time and a rush-hour buffer.
The group leader and driver count pieces together at loading, and our drivers will gladly help carry them.
Our dispatcher works with a single contact from your team to handle changes on the day.
Airport, conference and gala movements can need different vehicle allocations. Build a leg-by-leg schedule with passenger numbers, baggage and deadlines. Separate private VIP movements from the group shuttles and name who approves changes. Price the complete programme, including the method for charging an event extension.

When a delegation arrives on both international and domestic flights, assign separate vehicles to each terminal rather than one coach shuttling between them. Long Thanh Airport is not operating yet, so all arrivals still use Tan Son Nhat.
Popular half-day and day trips include the Cu Chi Tunnels (about 58 km) and My Tho (about 72 km). Overnight trips to Vung Tau or Phan Thiet can be added to the same contract.
No airport waiting fee, no night surcharge, and VAT invoices at 8%.
Drivers track each flight's actual landing time. When a wave lands late at night, the transfer price stays the same because there is no night surcharge. Cars and coaches are 2022 to 2025 models and insured.
Ask each hotel where coaches can stop. Some city-centre hotels only allow large coaches at side entrances, which affects how long boarding takes.
