An exhibition delivery depends on its receiving slot and venue access rules. Send the goods-entry time, loading-gate address and package list so the transport arrangement can be checked.
Agree who loads and unloads, whether trolleys or extra staff are needed and the handling terms for fragile items. Photograph packaging at handover. Dismantling may finish much later than delivery, so book the collection slot and waiting terms separately.
For large stands or several pallets, a dedicated truck is the right choice, and we will advise once you send your list.
Fairs usually set load-in times and a separate gate for delivery vehicles. Send us the organiser's notice so the driver arrives at the right gate at the right time.
Some venues need the plate number in advance; once the vehicle is confirmed we send the details for you to register.
The double cab has 5 seats including the driver, so 1–3 staff ride along comfortably. No passengers in the bed.
The last day of a fair is busy with vehicles. Book the breakdown slot together with the load-in so we can hold the vehicle for you.
Exhibition delivery and dismantling can have separate access slots, passes and registration. Book both, specifying waiting or a later return. Agree fragile-goods packing, handlers and handover responsibility. Tell dispatch if the collection load changes; the return is not automatically identical to the outward delivery.
Both time slots, loading gate, entry permits and package list.

Get the venue loading rules in writing: entry time, gate, required passes and whether trucks need a booking. Send the package list with sizes and weights.
Wrap panels and screens, label each box with the stand number and keep a copy of the list in the cab.

Is loading help included? Agree it separately.
Can the truck return after the fair? Yes, book the collection slot.
Start with the time the installation team needs the equipment at the stand. Work back through the walk from the loading bay, unloading, vehicle check-in and collection at your warehouse or office. That gives the transport team a pickup window tied to the event schedule. Ask the organiser what happens if the vehicle misses its slot and who can authorize a later arrival. A scheduled gate entry and a deadline to finish setting up are two different times, so put both in the transport brief.
For example, a team taking a folding counter, two display panels and sample boxes to a morning trade fair might need the counter first so the crew can start assembly. Tell the loading team which package should come off first and who will receive it. If the site only allows a short unload, have the receiving crew ready with any approved trolley before the vehicle reaches the bay. Give them a separate contact for access problems so the driver can focus on getting into the correct lane.
Make a list of the longest, widest and heaviest packages after packing. Include the cases that will be collected on the way. If a panel has to stay upright or cannot have boxes stacked on it, mark that against the item. Ask the transport team to check the available bed, cover and designated tie-down points on the assigned vehicle. When a case is awkward to move, send a picture and ask how the lift at each end will be handled.
Work out who needs to travel with the equipment. The booth crew may need to arrive at a public entrance while the delivery vehicle is directed to a service gate. If the crew is larger than the available passenger seating, or people and goods have different schedules, ask for a separate staff transfer. Compare the total price for the same route and staffing plan. An extra stop to collect materials or drop off a team member can change the timing even if the addresses are close on a map.
Identify the person who can sign off the handover and tell the driver which packages are ready for collection. If samples were handed out or new boxes were added during the event, update the return inventory before the vehicle comes back. Keep rented displays and items that need to go to different addresses separate, and label the drop-off on each set. A return to a warehouse may also require a named receiver and a closing time.
When you request a quote, ask whether it includes travel between both addresses, gate waiting, parking and each agreed stop. Check how the operator handles a delay if the hall releases vehicles late. If the team needs extra time to dismantle, agree when it should call to move the pickup rather than leaving the driver waiting indefinitely. Send the entry instructions, list of packed items, passenger count and both time windows through our car booking page so we can check the vehicle and timing together.
