A backup plan needs a trigger and a decision-maker. Agree responses to rain, overruns, capacity changes and breakdowns before delegates are waiting outside.

Know where the backup vehicle actually is

Distinguish an on-site standby vehicle from one that may be available on request. Agree mobilisation estimates, cost approval and guest messaging. Give each pickup a usable alternative, and update passengers, vehicle leads and venue staff together when switching plans.

        Situations worth planning for

        Programme timing changes

A long-running session or an early finish sends everyone out at once. Our dispatcher stays in touch with your team and moves vehicles to the real timetable.

        Heavy rain

In southern Vietnam the rainy season runs roughly from May to November, with sudden afternoon storms. Please agree a covered pickup point in advance and let guests know when you switch to it.

        A vehicle fault

A standby vehicle parked near the venue can step in quickly, and every vehicle in our fleet is insured.

        Last-minute guest changes

Additions, cancellations and hotel changes need to be added to the passenger list attached to the contract before the vehicle departs.

        Your backup pack

        Contact sheet

Phone numbers for our dispatcher, lead drivers and your own coordinator are shared before the day.

        Alternative assembly points

Each pickup point has a nearby alternative in case it is occupied or affected by traffic diversions.

        A channel to reach guests

A messaging group or event-app notification lets guests know at once when a departure time or pickup point changes.

Give the contingency plan a decision owner

A standby vehicle needs a location, availability window and authorised decision-maker. Define triggers such as breakdown, extra guests or a rain relocation. Prioritise critical routes and distinguish the reservation charge from operating charges. That makes the backup usable and allows the organiser to budget sensibly.
