Split corporate arrivals by flight, terminal and hotel rather than the overall headcount. A shared flight sheet and one coordinator help prevent changes being lost across separate calls.

Set a cut-off for the operating list

Record the group, flight, date, bags, hotel and contact on each line. Issue dated revisions after the cut-off instead of circulating screenshots of old sheets. Agree the maximum shared-transfer wait and who may approve a separate vehicle after a flight delay.

What we kindly ask you to prepare

        A flight table

One row per guest: name, phone, flight number, landing time, terminal, number of bags and destination. Sorting by landing time shows at a glance who can share a car.

        One point of contact

Please nominate one person on your side so our dispatcher can confirm changes quickly.

        Special requests

English-speaking drivers, a private car for senior executives, guests carrying equipment: please note them in the table.

        How we allocate vehicles

        Grouping by arrival wave

Guests landing at the same terminal within a short window share a 16- or 29-seater; anyone arriving at a very different time is met by their own 4- or 7-seat car.

        Name boards

Drivers hold a board with your company or programme name. At Terminal 3, chauffeur cars use their own meeting point, so guests are asked to call the driver once they have their bags.

Worked example: 25 guests on six flights

        Arrival day

Eighteen international guests landing at T2 travel in two waves by 16-seater; five domestic arrivals at T3 share a 7-seater; two executives each have a private car.

        Departure day

Vehicles are split by flight time, working back from each airline's check-in cutoff plus drive time and a rush-hour buffer.

        Coordinating on the day

        One shared spreadsheet

We suggest a single online sheet shared with our dispatcher, with a status column such as booked, met and arrived at hotel.

        A welcome message for guests

Before they fly, you may like to send each guest the driver's name and number, the board wording and a reminder to call after baggage claim.

Group flights by readiness and vehicle capacity

Flights landing close together may have very different exit times. Group guests by flight, destination and baggage, then decide who shares a transfer and who travels separately. Nominate one company coordinator for changed flights and extra guests. Balance vehicle cost against the waiting imposed on each group.

Professional collecting a car at Tan Son Nhat airport

Keep one shared sheet with name, flight, terminal, hotel and phone. Set a cut-off time for changes the day before.

Name one coordinator who updates drivers and the hotel.
