How should the group handle one passenger cancelling?

Agree internally who pays the deposit, who covers a cancellation and whether another traveller may replace that person. A vehicle trip does not necessarily cost less when one passenger withdraws. Report changes to pickup points and baggage too. A shared written confirmation keeps the group and booking organiser aligned.

Making the shared trip run on time

Set one meeting point and a time 15 minutes before departure. Each person sends their bag count to the organiser the day before.
